How we collect, use and protect your information and the rights you have over it.

Who we are

A2Z IT Limited ("we", "us") runs this website (a2zit.ai) and is the data controller for the personal information described here. We are registered in England and Wales (company number 16306508), our registered office is 115 Stanley Road North, Rainham, RM13 8BA and we are registered with the Information Commissioner's Office under number ZB996270. The information we collect and why

When you contact us

If you use the contact form, we collect your name, email address, phone number (if you give it) and your message and we use them solely to respond to your enquiry. The form is processed by our own systems hosted in Microsoft Azure in the UK. If you email or call us directly, we hold the correspondence for the same purpose. Our lawful basis is our legitimate interest in responding to people who contact us, or taking steps you ask us to before entering a contract.

When you use the chat assistant

Messages you type into the chat assistant are used to generate a reply and, if you ask us to get in touch, to pass your message on to the team. The conversation is held in your browser for the duration of your visit and nowhere else. Replies are generated by Microsoft's Azure OpenAI Service under our agreement with Microsoft and your messages are not used to train AI models. Requests may be handled in Microsoft data centres outside the UK, with Microsoft's contractual safeguards in place. Please don't put sensitive personal details into the chat.

Analytics (only if you accept)

If you accept analytics cookies in the cookie banner, we use Google Analytics to understand how visitors use the site: which pages get read, roughly where visitors are, what devices they use. We also use Microsoft Clarity, which records clicks, scrolling and mouse movement so we can see where a page works and where it doesn't. Clarity hides the text on the page and anything you type into a form before the recording leaves your browser, so we cannot read them, and we do not use it for advertising. Nothing is set unless you accept and you can change your mind at any time in the cookie preferences. The full list is in our Cookie Policy. Our lawful basis is your consent.

Keeping the site secure

The contact form and chat assistant use Cloudflare Turnstile to tell people from bots and prevent abuse. Turnstile assesses technical signals from your browser; we see only a pass or fail. Our lawful basis is our legitimate interest in protecting our services from spam and abuse.

Who we share information with

We never sell your information. We share it only with the service providers that run this site on our behalf: Microsoft (Azure hosting, the Azure OpenAI Service and Clarity analytics, the last only with your consent), Cloudflare (security) and Google (analytics, only with your consent). Each acts as our processor under contract. We may also disclose information where the law requires it.

Where your information lives

Our systems are hosted in Microsoft Azure and our data lives mainly in the UK and European Economic Area. Where a provider processes data outside the UK, as can happen with Azure OpenAI requests, Microsoft Clarity and Google Analytics, the transfer is covered by safeguards recognised under UK law, such as the UK Addendum to the EU Standard Contractual Clauses or an adequacy decision.

How long we keep it

Enquiries and related correspondence are kept while we deal with them and for up to 24 months from our last contact with you, unless we end up working together, in which case the usual records of a business relationship apply. Chat conversations are not stored by us: they live in your browser for the session and our systems keep only routine operational logs, though if you ask the assistant to pass a message to the team, that message reaches us by email and is treated like any other enquiry. Google Analytics data is retained for 14 months. Microsoft Clarity keeps recordings for 30 days. A small sample and any recording we mark to keep last up to nine months, as does its heatmap data.

Your rights

Under UK data protection law you have the right to ask for a copy of your personal information, to have it corrected or deleted, to object to or restrict our use of it and to data portability where it applies. Contact us at enquiries@a2zit.ai and we will respond within one month. If you are unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, though we'd welcome the chance to sort it out first.

Children

This website is aimed at businesses and we do not knowingly collect information from children. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

If we change this policy we will post the new version here and update the date at the top. Significant changes will be flagged on the site.
